PlotDock Terms of Service

By creating a PlotDock account, accepting a Corporate company invitation, or otherwise using the PlotDock mobile or web application (collectively, the "Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the Service.

1. Acceptance of these Terms

By creating a PlotDock account, accepting a Corporate company invitation, or otherwise using the Service, you agree to be bound by these Terms. The Service is operated by Carbide Coding LLC, a Kansas limited liability company ("Carbide Coding," "PlotDock," "we," "us," or "our").

If you are using the Service on behalf of an organization (for example, accepting a Corporate company invitation), you represent that you have authority to bind that organization to these Terms, and "you" in these Terms refers to both you individually and that organization.

2. The Service

PlotDock is a cross-platform site-survey application for documenting fire alarm, access control, CCTV, intrusion, nurse call, and related low-voltage system installations. The Service includes mobile apps (iOS and Android), an optional web application at app.plotdock.app (Corporate tier only), and the supporting cloud infrastructure that synchronizes your project data across your devices and team members.

We may add, modify, or remove features at any time. Material changes that affect your use of the Service will be communicated through in-app notices, email, or an update to these Terms.

3. Accounts and your responsibilities

You must provide accurate, current information when creating your account and keep it accurate as it changes. You are responsible for safeguarding your password and for any activity that occurs through your account. Notify us immediately if you suspect unauthorized access.

You must be at least 13 years old to use the Service. PlotDock is not directed at children under 13 and we do not knowingly collect personal information from children under 13. See our Privacy Policy section 9 for details.

You are responsible for the data you enter into the Service, including project information, photographs, and device placement records. You retain ownership of that data; you grant Carbide Coding the limited license to store, process, and display it as necessary to operate the Service for you and (in the Corporate tier) your authorized team members.

4. Subscription model and billing

PlotDock offers two paid subscription tiers and one internal-only tier:

Individual (paid)

Billed via Apple App Store in-app purchase (iOS) or Google Play billing (Android). Auto-renews monthly or annually depending on the plan you select at purchase. To cancel, change, or request a refund for an Individual subscription, you must use the platform's subscription management settings (Apple ID subscriptions on iOS; Google Play subscriptions on Android). Carbide Coding cannot directly manage, modify, or refund Apple or Google in-app subscriptions; refunds are subject to Apple's and Google's respective refund policies.

Corporate

Billed by Carbide Coding via Stripe outside of the Apple App Store and Google Play. Corporate plans are seat-based: the administrator purchases admin seats, user seats, and technician seats independently, and each seat type has its own price. Quantity changes flow through to your Stripe subscription. Auto-renews monthly unless cancelled. To cancel, change, or request a refund for a Corporate subscription, use the in-app admin panel or contact support@plotdock.app. Refunds are at Carbide Coding's discretion and will be issued in accordance with the cancellation policy disclosed at the time of purchase.

PlotDock (internal)

Reserved for Carbide Coding employees. Not available for purchase by users.

All prices are listed in U.S. dollars unless otherwise stated. Carbide Coding may change pricing at any time; price changes take effect at the next renewal cycle following at least 30 days' notice.

5. IAP cancellation when upgrading to Corporate

Read this carefully if you have an active Individual subscription and intend to upgrade to Corporate.

When upgrading from an Individual subscription to a Corporate subscription, you must cancel your existing Apple App Store or Google Play subscription before completing the upgrade. PlotDock cannot cancel your subscription for you due to Apple and Google policies. Failure to cancel may result in duplicate billing for which we cannot refund.

The PlotDock mobile app surfaces an in-app prompt before completing a Corporate upgrade when an active Individual IAP subscription is detected. The prompt links you to your platform's subscription management settings and asks you to confirm that you have cancelled before proceeding. We record the date and time you confirm this cancellation as a forensic record of the upgrade gate. The cancellation itself is on the honor system; Apple and Google do not provide PlotDock with a means to verify your cancellation.

6. Free trial and the one-per-account rule

New Individual sign-ups receive a 30-day free trial of the full Individual feature set, including cloud sync and automatic encrypted backups. No payment information is required to start the trial. The trial begins at sign-up and expires 30 days later.

The free trial is one per account. If you allow your trial to expire without subscribing, then subscribe later, you will not receive a second trial. Similarly, if your account enters the read-only state (see section 7) and is subsequently wiped (see section 8), re-subscribing on the same account routes you directly to paid Individual without a fresh trial. If you wish to evaluate the Service again with a fresh trial, you may create a new account using a different email address.

At the end of your trial, your account remains accessible but transitions to the read-only state described in section 7 unless you have subscribed to a paid Individual or Corporate plan during the trial period.

7. Read-only state

Your Individual account enters the read-only state in either of these circumstances:

The read-only state preserves your data so that resubscribing within the wipe window (see section 8) restores full access without data loss. The Subscribe button in the read-only state is the only paid feature accessible to you until you reactivate.

8. Six-month data wipe

If your account remains in the read-only state for six (6) months without resubscribing, your project data will be permanently deleted.

A scheduled cleanup job runs daily on the Carbide Coding cloud infrastructure. The job identifies accounts in the read-only state for six months or longer and permanently deletes the following data:

After a wipe, signing back in lands you on a welcome-back screen explaining what happened and offering to start fresh with a new subscription. Per section 6, re-subscribing after a wipe does not grant a new trial; it routes you directly to paid Individual.

9. Terms of Service acceptance records (preserved indefinitely)

Each time you accept these Terms — at sign-up, at re-subscription after a data wipe, or upon accepting a Corporate company invitation — we permanently record the date, time, your IP address, the version of these Terms accepted, and the context of acceptance. These records are retained indefinitely as a legal record of your acceptance, even after your account or project data is deleted, and are not subject to data-deletion requests under GDPR Article 17 or CCPA equivalent rights (legitimate-interests basis under GDPR Article 6(1)(f) for legal-records preservation).

If you exercise your right to delete your account, your account identity (email, password hash, display name) is removed; your Terms of Service acceptance records remain as an immutable history of when you agreed to these Terms and under what version. See our Privacy Policy section 10 for the full data-retention disclosure.

10. Acceptable use

You agree not to use the Service to:

Suspected violations may be investigated; confirmed violations may result in account suspension or termination per section 11.

11. Termination

By you. You may stop using the Service at any time. To delete your account and the data associated with it (subject to the indefinite TOS-records retention described in section 9), use the in-app account deletion flow or contact support@plotdock.app. Account deletion takes effect within 30 days.

By us. We may suspend or terminate your account at any time, with or without notice, if we reasonably believe you have violated these Terms, are using the Service in a manner that creates legal risk for Carbide Coding, or have an unresolved billing dispute. We will provide reasonable notice for non-emergency terminations and will not delete your project data until the notice period has elapsed.

Termination does not relieve you of obligations incurred before termination (for example, payment for the current subscription period).

Corporate cancellation, seat changes, and failed payments

Cancellation. Corporate subscriptions can be cancelled at any time by the account administrator from the in-app admin panel or by contacting support@plotdock.app. Cancellation takes effect at the end of the current monthly billing period — your team retains full access through the period you have already paid for, and you are not charged again.

No prorated refunds. PlotDock Corporate is sold as month-to-month service with no minimum term. We do not offer prorated refunds for unused time within a billing period, and we do not offer refunds for past billing periods. If you no longer want to continue, cancel from the admin panel; the cancellation takes effect at period end and no further charges will be made.

Seat changes. Seat counts (admin, user, technician) can be adjusted at any time from the admin panel. Increases are prorated and applied to the next invoice. Decreases take effect on the next billing period; we do not refund seats removed mid-period.

Failed payments. If a renewal payment fails, your Corporate account enters a 30-day past-due grace period during which full access is retained while we retry the payment. If retries exhaust, the account moves to a 30-day read-only period (data preserved, modifications locked), then to a locked-out period. Updating the payment method during any of these stages and successfully paying the outstanding invoice immediately restores full access. Corporate account data is retained for six months from the first failed charge before deletion.

Account closure and data. Upon Corporate cancellation, account data is retained for 30 days to allow for reactivation, then permanently deleted. If you need an export of your project data prior to deletion, contact support@plotdock.app from the account email before the retention period ends. For Individual cancellation + the trial-expired / read-only / 6-month-wipe lifecycle, see sections 7 and 8.

12. Disclaimers and limitations of liability

The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to the implied warranties of merchantability, fitness for a particular purpose, and non-infringement. Carbide Coding does not warrant that the Service will be uninterrupted, error-free, or free of harmful components, or that any data you upload to or generate within the Service will be preserved without loss.

You are responsible for maintaining your own backups of any project data you cannot afford to lose. Carbide Coding's automatic encrypted backups are a convenience feature, not a substitute for your own backup strategy.

To the maximum extent permitted by applicable law, Carbide Coding's total cumulative liability arising out of or relating to these Terms or the Service shall not exceed the greater of (a) the amount you paid Carbide Coding for the Service in the twelve (12) months preceding the event giving rise to the liability, or (b) one hundred U.S. dollars (USD 100). In no event shall Carbide Coding be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, including lost profits, lost data, or business interruption, even if advised of the possibility of such damages.

Some jurisdictions do not allow the exclusion of certain warranties or the limitation or exclusion of liability for incidental or consequential damages. To the extent those jurisdictions' laws apply, the above limitations may not apply to you.

13. Governing law and dispute resolution

These Terms and any dispute arising out of or relating to these Terms or the Service shall be governed by and construed in accordance with the laws of the State of Kansas, United States, without regard to its conflict-of-laws provisions.

Informal resolution first. Before initiating any formal legal proceeding, you agree to first attempt to resolve the dispute informally by contacting support@plotdock.app with a clear written description of the issue and your requested resolution. Carbide Coding will respond within thirty (30) days. If we cannot resolve the dispute informally within sixty (60) days of your initial contact, either party may proceed with formal action.

Jurisdiction and venue. Any formal legal action arising out of or relating to these Terms or the Service shall be brought exclusively in the state or federal courts located in the State of Kansas, and you and Carbide Coding consent to the personal jurisdiction of those courts and waive any objection based on inconvenient forum.

Class-action waiver. To the maximum extent permitted by applicable law, you and Carbide Coding each waive any right to bring or participate in a class action, collective action, or consolidated action arising out of or relating to these Terms or the Service. Disputes shall be resolved on an individual basis.

14. Changes to these Terms

We may revise these Terms from time to time. When we do, we will update the "Effective date" and "Last updated" lines at the top of this page. For material changes (changes that affect your rights, billing, data handling, or dispute resolution), we will provide notice through the in-app interface, email to the address associated with your account, or both, at least thirty (30) days before the changes take effect. Continued use of the Service after a material change takes effect constitutes acceptance of the revised Terms; we will record a new acceptance row per section 9.

For non-material changes (typo fixes, clarifications, formatting), we will update the "Last updated" date without separate notice.
